Provide administrative support in the following areas of HR
o Global Contract Administration
o Timekeeping
o Benefits
Works within HR policies and procedures and promotes utmost compliance to the company Code
of Conduct; operates with high level of initiative and takes advice from manager if required
Global Contract Administration
Draft contracts based on Global standards template
Provide level 1 support to TGS for any system-related issues following the CSOD admin process
Update global employee register
Manage Contract Admin Mailboxes
Update local HR database (new hires, terminations, employee updates)
Assist in the preparation and submission of Ad hoc reports
Performance Management
Draft employee letter as approved
Release document to concerned manager/team once approved
Creating, updating and termination of users in CSOD
Follow CSOD Admin Process and Provide first level support to Allegis Group for any system related issues
Send Proby reminder to Managers; Monitor completion
Payroll & Timekeeping
Consolidate all payroll instructions: Employee information update;
Process Bank payroll enrollment of new hires and update employee for the scheduled release
Generate, validate and consolidate timekeeping entries.
Act as the HR administrator for the leave management tools.
Handle all employee queries and make necessary adjustments as needed.
Upload and share employee attendance with Managers through shared drive.
Validate overtime records from previous payouts.
Manages employee database and updates any information changes to accurately reflect employment status change, personal data, position levels, reporting relationship and authorized approvers, compensation details and other confidential information.
Implement programs that is compliant with labor standards
Maintain and secure personnel 201 files
Prepares and issues Employment Certificates upon request
Benefits Administration
Process enrollment, deletions and updates to the following:
o HMO
o GLI
o Statutory (SSS, Philhealth, Pag-Ibig and BIR)
Process and monitor loan applications for SSS & Pag-ibig
Assist in the implementation of Benefit Programs, as needed.
Employee Engagement
Assist in the implementation of all engagement activities
Others
Validate and process billings from Third-Party Vendor (HMO, Insurance, Background checks).
Provide HR Support as needed.
Purchasing HR Office supplies as needed.
EDUCATION & EXPERIENCE
College/University degree in B.S. Psychology, Industrial Psychology, AB Behavioral Science or related discipline
With at least 1 year related experience in HR administration
Experience working in BPO and/or Shared Services organization and global/multi-cultural environment preferred.
SKILLS
Strong written and verbal communication skills
Proven ability to perform under pressure and under tight deadlines
Ability to perform multiple tasks and efficiently deliver based on key priorities for the business
Needs to be flexible, assertive and responsive to adjust accordingly based upon changing needs on the day-to-day demands of employees
